Closure Tasks

Closure tasks mark the end of a request. A Closure task can be used to set the implementation reason and request status for a request. A request can have multiple Closure tasks depending on the workflow path. They can be automated or manually run by an analyst. By default, these tasks are set to be manually initiated. If the request does not have a closure task, the request manager must manually close the request.

You have the same options for closing the request within a closure task as you do when performing the completion within the request itself. Success and failure can still be specified, as can additional information about the nature of the success or failure and descriptive information. Email notifications can also be sent.

If a closure task becomes active and attempts to close a request while it is currently being actioned on by the request manager, the closure task will automatically complete once the request is free. A note will be added to the task history stating that the completion of the closure task has been delayed due to the request being locked.

Creating a Closure Task

  1. Search for the Request Details window, if it is not already on screen.
  2. If you are working on a specific request, and the workflow template you have used to create the request already has tasks defined in it, you will see these tasks here. You can open them and change their details such as dates, assignment, or expenses. You can add new tasks or delete them from the current request without affecting the template.

  3. On the dependency diagram, double-click the icon to view the Change Window Task Details window.
  4. If needed, take action on the task in order to edit the details.
  5. Complete the common task fields on this task.
  6. Expand the Implementation Details section to set the request closure parameters.
  7. Optionally, type additional information into the Implementation Script field. The information entered in this field will be displayed on the Request Implementation window after the request is completed
  8. After you have completed the fields, save, forward the task internally, or defer the task for later action. To defer a task, select the Defer explorer option or click Defer on the Task Details window. The Defer Task <task number> window appears. At Approval/Task Status, select a status for the deferral and click OK. The Request Details window appears with the task listed in the task browse table with a status of Current. A history entry is also added.
